The Mesa City Council on Aug. 19 approved a four-year, $197,000 contract to replace the collections systems for the Arizona Museum of Natural History and the Mesa Contemporary Arts Museum.
The contract, voted on as part of a multi-item consent agenda that passed 6-0 (Mayor John Giles was absent) will replace the collections systems in both the Arizona Museum of Natural History and the Mesa Contemporary Arts Museum with modern systems, according to a council report.
Features of this modern system include the ability to capture an object’s present condition and deaccession history, capturing the name and institution of lenders, location description and location coordinates of the item’s original discovery, tracking specimens and objects on exhibits, tracking lending and exhibition history and more.
Responses to the request for proposal for the contract were evaluated by a committee representing the Arizona Museum of Natural History, the Department of Innovation and Technology, and the Mesa Contemporary Arts Museum and Procurement Services.
According to the council document, the evaluation committee recommends that Gallery Systems LLC be awarded the four-year contract at $197,000 for the first year and up to $75,000 annually afterwards, with annual increase allowances of up to 5% or the adjusted consumer price index. Collector Systems LLC also responded to the request for proposal but did not earn a recommendation.
The contract has an initial term of four years with an up to six-year renewal option.
